Overview

Field teams reported on paper and WhatsApp, and head office consolidated the data days later. Shyphan AI built a Zoho Creator mobile application for daily reporting, requests and approvals with an audit trail.

Challenge

Technicians and site staff sent daily reports as photos and voice notes on WhatsApp. Material and expense requests were approved on calls with no record, and head office spent hours every week consolidating the information into spreadsheets.

By the time management saw the numbers they were several days old, and disputes about what had been approved were common.

Solution

We designed a Zoho Creator mobile app with structured daily reports, photo and GPS capture, material and expense requests with multi-level approvals, and dashboards for supervisors and management.

The app works offline on site and syncs later. Approved expenses post to Zoho Books, and WhatsApp notifications tell staff when a request is approved or needs attention.
