Step 1: Decide what a barcode identifies
Item only, item plus batch, or a unique serial. Pharma, food and chemicals need batch and expiry; electronics and spares often need serials; general trading needs item level. This decision shapes labels, scanning and reports.
Step 2: Clean the item master
Duplicate SKUs, inconsistent units and missing HSN codes break scanning and GST invoicing. Consolidate items, set units and conversions, add HSN and tax rates, and map supplier barcodes where they exist.
Step 3: Labels
Use supplier barcodes when reliable; print your own at receipt for the rest. A thermal printer at the receiving bay and label templates from Zoho Inventory or Odoo cover most needs. Batch labels carry batch number and expiry.

Step 5: Phones, not expensive scanners
Ordinary Android phones with the Zoho Inventory or Odoo app scan barcodes well for most volumes. Rugged handhelds make sense only for very high-throughput warehouses.
Step 6: Dispatch with GST documents

Step 7: Cycle counts
Count a few locations every week instead of shutting down once a year. Variances point to process gaps, usually unscanned returns or samples.
